I. Participant Registration

1. Reception desk for registration

The reception desk for registration will operate at the following times (*the dates and times below apply to all participating societies).

2. Participation fees

The participation fee is JPY15,000. Please pay the fee at the reception desk in the venue. All major credit cards are accepted (AMEX, DINERS, JCB, Mastercard, VISA).
Students (excluding graduate students) and clinical researchers (who have graduated within the last two years) can apply for free participation.
(The application form to waive participation fees can be downloaded from the JDDW website.)

For those people who have completed advance registration procedures, please be sure to bring with you the exchange voucher that was issued at the time of advance registration.

3. ID card *Please note that ID cards CANNOT be reissued.

Please fill in your name and affiliation on your ID card and wear it at all times.
Participants not clearly displaying their ID cards will not be able to gain access to the venue.
Presentation of ID cards will be requested for accreditation as specialist doctors and certified physicians of each participating society and also for renewal of accreditation, so please do not lose your ID card.

4. CD-ROM version of the abstract booklet

Participants who have registered to participate will be provided with a Joint Program and a CD-ROM version of the abstract booklet.

*Copyright of all presentations at JDDW belongs to the participating societies and participants are requested to bear this in mind when quoting excerpts from any of the presentation texts, etc.
*Computer terminals and printers will be available at the Rose / Iris Business Center on the B1F of Portopia Hotel South Wing, so that CD-ROM contents can be viewed on site. The CD-ROM version of the abstract booklet is searchable, using a free search function for the entire contents.

5. E-abstract application (also available in Japanese)

An e-abstract application for iPhones and Android terminals is also available to use (enabling presentation searches and creation of personalized schedules).

6. Guide to Digital Poster viewing

At JDDW 2014, we have introduced digital posters for general presentations. You may freely view digital poster presentation abstracts during the JDDW 2014 conference using the personal computers provided in the viewing area (Kobe International Exhibition Hall No.1 Building 1st floor and No.3 Building 1st floor).
At Digital Poster Rooms, you may also view the posters on your own PC (excluding iPad and smartphone).
Please enter the ID/password printed on your name card into the space on the top page of the site shown via a PC Web browser.

*All the posters can be viewed not only on the presentation date, but throughout the convention, on the computers installed in the venue for browsing.
*You can search for the desired poster without having to move.

7. Annual fees and new memberships for academic societies

Each participating academic society will accept annual fees and new memberships as specified below:

Registering credits for renewal of specialist certification by the Japanese Society of Gastroenterology

During JDDW 2014, credits for renewal of specialist certification can be registered as explained below. (Registration cards will be distributed and stamped.)

1) Credits for renewal of specialist certification at the 56th Meeting
A coupon is attached to the bottom of the name card (participation pass). You can exchange this coupon with a “registration card” at a designated place for exchanging registration cards in Kobe International Exhibition Hall No.1 Building 2nd floor. Fill out the card with all required information, then submit it at the registration card collection point.
If you cannot register your credits for renewal of specialist certification at JDDW 2014, you can also register by attaching a copy of your certificate of participation to the renewal application document that was sent to you.
2) Credits for renewal of specialist certification by attending JDDW educational lectures
To avoid congestion, the Japanese Society of Gastroenterology will not be accepting registration of credits for attending JDDW educational lectures for specialist certification renewal at the venue. You can register your credits for specialist certification renewal by attaching a copy of your certificate of participation for JDDW 2014 educational lectures to the renewal application document that was sent to you.
How to register credits for participation in the Congress of the Japan Gastroenterological Endoscopy Society

You can register credits for participation in the congress on the web site of the Japan Gastroenterological Endoscopy Society. You will need to enter a 16-digit code-a 10-digit meeting code, followed by the 6-digit code at the top-left of your participation registration card. You need to keep note of this code for applying/renewing your certification for medical specialist or medical advisor.

*The meeting number will be provided on the members-only section of the web site of the Japan Gastroenterological Endoscopy Society after the meeting.
*If you do not wish to register your credits for participation online, you must present your congress registration card when applying/renewing the applicable certification.

10. Japan Medical Association Continuing Medical Education system

Academic society meetings, lectures, seminars, workshops etc., organized by the Japanese Society of Gastroenterology, the Japan Gastroenterological Endoscopy Society, the Japan Society of Hepatology, and the Japanese Society of Gastroenterological Surgery during JDDW are eligible to be counted as part of the JMA’s Continuing Medical Education system.

11. Obtaining certificates of participation for JDDW educational lectures

* In the 2014 conference, proof of participation will be distributed separately for the morning and afternoon sessions. We regret we cannot re-issue it.
*Credits are awarded for renewal of medical specialist and certified doctor status by the Japanese Society of Gastroenterology, the Japan Society of Hepatology, and the Japanese Society of Gastrointestinal Cancer Screening.

II. For speakers at theme sessions

From 2014, presentation slides for all plenary sessions (Symposia, Panel Discussions, and Workshops), including non-international sessions, are required to be created in English language (language for oral presentation at non-international sessions is Japanese).

1. Instructions

Oral presentations for JDDW 2014 (Lectures and theme session abstracts) must be computer-based. Please follow the instructions shown below in making preparations for your presentation.
*You may use a laptop PC, USB flash memory drive or CD-ROM (CD-R or CD-RW) for your presentation, but not MO, FD, ZIP, or DVD. Please be sure to bring a backup USB flash memory drive or CD-ROM in just case of any trouble.
The name of your presentation file should be a combination of 1) your presentation number, 2) your name, and 3) the number of the presentation venue in this order.

Example: IS-S1-1_Hanako Shokaki 8

In the presentation venue, you will operate equipment from the podium. There will not be a PC on podium. You will have only a monitor and a mouse.

Also, print out your presentation yourself and bring a copy with you. Please note that the Operation Center is not able to print out your data on the day of the conference.

The end of your presentation time will be indicated by a light. Please strictly observe your presentation time.

2. Presenter data submissions

Please submit all of your presentation data of the respective Operation Center in your presentation venue by at least one hour prior to your scheduled presentation. Report your Hall No. and Presentation No. at that time.

Operators receive your data and upload it onto the server. At the operation desk in the presentation room, please confirm that your data has been uploaded to the PC at the presentation room and whether it is ready or not. The host of this meeting is responsible for deleting your uploaded data after the completion of this meeting.

Immediately after the speaker ahead of you starts his/her presentation, please take the seat prepared for the next speaker.

3. Note for bringing your notebook PC

Either Windows (Windows 7 or later versions) or Macintosh (Mac OS X 10.5 or later versions) with USB Port can be used. Your presentation should be in PowerPoint only.
(2)
If your PowerPoint file includes a movie file, the organizer recommends that you bring your own laptop PC for your presentation. The organizer’s PC may not be able to display the movie properly. Please be sure to bring USB flash memory drive or CD-ROM or CD-RW for backup purposes and also an AC adapter.
(3)
If bringing an iPad, Windows 8 touch-panel PC or tablet PC, you will be giving a presentation with it connected via a Mini D-sub 15 pin cable (not wirelessly). For an iPad 1, presentation will be displayed only on the external monitor and not on the iPad screen. The PCs made available at the venues do not have touch panel function. If you wish to use a touch panel for your presentation, please bring your own computer.

The organizer will provide mini D-sub 15 pin cables only. If you need another type of connector for your PC, please bring it yourself.

The resolution of the projector provided at the venue is XGA (1024 × 768). Please be ware that if your presentation slides are a different size, the projected image may be degraded.

4. Note for bringing in USB flash memory drive and CD-ROM(CD-R)

Data in USB flash memory drive or CD-ROM should be saved using the following procedures in advance.
*Your presentation should be in PowerPoint only.
Your presentation file should be created with MS PowerPoint 2007 or later versions for Windows, or MS PowerPoint 2008 or later versions for Macintosh.
If the file was created with VISTA, please inform the operators.
*In order to avoid character corruption, you can use only the following fonts.
English fonts: Century, Century Gothic
*Regarding the use of movie data, make sure that data is capable of running on either of the following software.
Windows: Windows Media Player 11
Macintosh: Quick Time Player 10
*Cautions regarding video files:
If the size of video files exceeds 500 MB, please bring your own computer for the presentation.
Windows:Please make sure that your video files can be played with a codec included in a standard installation of Windows Media Player 11. (WMV format is recommended.)
Mac:Please make sure that your video files can be played with a codec included in the standard installation of QuickTime Player 10. (MOV format is recommended.)

If your presentation file has links to still images, video, graphics or other data files, please store all such files and make sure in advance that these files can be opened.
*Also prior to your presentation, you should make sure that you can open all these files on a PC other than the PC on which such files are created.

The following PCs are available for use in each presentation venue.

2. Presentations

*Presentations utilizing video may be made.
*It is possible to maintain print quality by utilizing a full high-vision monitor for individual slides (slide mode) while maintaining visibility with a list of slides (poster mode) imitating a traditional poster.
*On the bottom left of the screen, the remaining time is displayed. Please make sure that the time schedule of your session will be strictly kept.

3. Registration

Presentation slide data is to be registered in advance. A link to the registration screen will be displayed on the JDDW2014 webpage from September 24 (Wed) to October 9 (Thu), 2014.

*Registration information can be modified any number of times during the registration period. After October 9 (Thu), the screen will be closed, so it will not be possible to make substitutions or modifications.
*Registered data cannot be replaced even if you bring your data to the operations center on the day.
*On the day of your presentation, please report to the poster counter at the entrance to the poster venue at least 30 minutes prior to your presentation.
*Note that failure to register within the registration period will result in the removal of your presentation.

4. Data creation

*Please create presentation data using PowerPoint. Compatible versions are 2007 and later (PowerPoint 2010 for Windows is recommended).
*Do not create data in a large format like a traditional poster presentation. Please create individual slides.
*Specify a display area aspect ratio of 4:3 for the pages of your presentation.
*Only the following fonts can be used.
Century, Century Gothic
*Your PowerPoint file will be converted to image format when you register in order to prevent layout collapse. Therefore screen switching animations and animations within pages cannot be used.
*Movies can be used inside PowerPoint. Up to 200MB of data can be registered (total data including both the PPT file and video files). Check the data beforehand to ensure that videos play automatically when the pages in which they are embedded are displayed.
*Up to 15 slides can be registered. Please use slides 1 through 14 for your presentation, and slide 15 for the conflict of interest disclosure information. The title slide (bearing the presentation title and presenter names) will be displayed in a different location, so make sure not to include it with the presentation slides.

IV. Disclosure of conflicts of interests during presentations

Potential conflicts of interest must be disclosed when making oral presentations. This information must be shown using the disclosure statement of your society on the screen for lectures and on digital poster presentation slides for general presentations.

V. For chairperson of International sessions

1. Registration for chairperson

Please come to the venue at least 30 minutes before the start of the applicable session and inform the coordinator at the entrance to the venue of your arrival.

2. Punctuality

Please strictly observe the time limits of each session.
Note that the end of the allowed presentation time will be indicated by a light. Please make sure to conclude sessions within the allotted time.

VI. For participants

1. Photos and video

Participants are prohibited from taking photos or videos of the screen during presentations at JDDW 2014.

Please refrain from taking photos or videos at the presentation venue.

2. Q&A

If you wish to ask a question during a session, you may do so with permission of the moderator/leader after stating your organization and name.

3. Programs

As we informed you in the application guidelines for topics, joint sessions on topics will be attributed to the academic society nominated by the presenters.
(2)
Presentations with ★ mark are denoted awarded prizes for poster excellence, as judged by peer reviewers of each academic society.
(3)
The topics printed in the program are taken directly from the summary of applications received over the Internet. For this reason, the writing style is not unified (except for a portion that has been automatically modified).
Note that the organizations the presenters belong to, together with their English names, are expressed using abbreviations based on the rules of the JDDW 2014 Operating Committee.
*After the deadline for topic registration, we investigated the official names of these societies and chose abbreviations for them. Please note that as a result, our names for societies may differ from their official names.

4. Breakfast seminars

Breakfast seminars will be held from 8:00 on the first to fourth days of the event.

5. Numbered tickets for admission to luncheon seminars

Numbered tickets will be used for admission to the luncheon seminars.

Ticket issuing time From 7:30 to 11:00 after registration commences for that day’s luncheon, and 13:45 to 17:30 for a portion of tickets for the following day’s luncheon. (Note that some tickets for luncheon on the first day, October 23, will be issued between 16:00 and 19:00 the previous day.)
Ticket issuing place The tickets will be issued at the Kobe International Exhibition Hall No.1 Building 2nd floor lobby and at the Portopia Hotel South Wing 1st floor lobby (in front of Ohwada banquet room).

A barcode system is being introduced at JDDW 2014. So, when you select your preferred luncheon seminar, a ticket can be issued automatically by simply placing the barcode printed on your name card over the barcode reader of the ticket machine. Please note that only one ticket can be issued per day.
The tickets will be issued on a first-come first-served basis. When a seminar is fully booked, no more tickets will be issued. Please understand that ticket holders have priority in attending the seminar.
Tickets are valid until each seminar commences. If any vacancies remain at this time, those without tickets will also be permitted to enter the seminar.
In addition, tickets will be issued for a satellite symposium only if requested by a company. (There will be no ticketing system for breakfast seminars.)

6. Commercial exhibition

A commercial exhibition will be held at Kobe International Exhibition Hall No.1 Building 1st floor, and Kobe International Exhibition Hall No.3 Building 1st floor.
The exhibition will be held from October 23 to 25 from 9:00-17:00 and on October 26 from 9:00 to 15:00.

7. First-aid room

For the duration of JDDW a first-aid room will be available in CS Room on the 1st floor of Kobe Portopia Hotel. In emergency case, it may be necessary to provide an introduction to a nearby hospital. For inquiries about the first-aid room, please contact the Operations Center (Portopia Hotel South Wing 5F 552+554, TEL: +81-78-302-8101.)

10. Lost and found

11. Shuttle Bus service

During the period of JDDW a complementary shuttle bus service exclusively for participants will be provided between Shin-Kobe Station and Kobe International Exhibition Hall.
*Running times: October 23 (Thu) to October 26 (Sun), 7:00 - 18:00 (every 20 minitues)

During the period of JDDW a complementary shuttle bus service will be provided between Sannomiya and Portopia Hotel, according to demand.

12. Parking

No parking is available exclusively for the use of JDDW participants. You are advised to come by public transport.

13. Smoking

All venues related to JDDW 2014 are designated as non-smoking. Your cooperation is appreciated.
